San Diego Office Litigation Legal Administrative Assistant
Nicolaides Fink Thorpe Michaelides Sullivan LLP is seeking a Litigation Legal Administrative Assistant with one to two years of litigation experience to join our growing San Diego office and become an integral part of the firm's administrative and legal support team. This position performs a wide variety of administrative tasks while demonstrating the ability to exercise good judgment, multi-task, and meet deadlines.
Ideal candidates are self-starters who can work independently and as part of a team, are highly organized, and detail oriented. Proficiency with Microsoft Word, Outlook, Excel, PowerPoint, and Adobe Acrobat is required.
Initially the new hire will be asked to work in the office Monday through Friday, but once the tasks and responsibilities are learned, a hybrid schedule will be possible. Three days in the office and two days remote. Our office is in the La Jolla community of San Diego with nearby parking facilities. The firm provides a parking reimbursement, if needed.

The anticipated salary range for this position is based on a 37.5-hour per week schedule as well as experience; the hourly rate will be $27.50-$29.75, commensurate with experience, with potential for annual performance-based raises and discretionary bonuses.
Primary Duties and Responsibilities include, but are not limited to:
- Download digital files and save in the appropriate client matter folders in the document management system (NetDocs) and network drives;
- Coordinate e-filing in state and federal court, including gathering exhibits, preparing the Table of Contents and Table of Authorities;
- Update and maintain physical files;
- Prepare legal documents including formatting, proofreading, making revisions and finalizing;
- Save documents in document management system (NetDocs);
- Assist with preparing expense reports for attorneys;
- Maintain printers and copier, including filling with paper, clearing jams and basic troubleshooting;
- Order and maintain office and kitchen supplies;
- Collaborate with Dallas, Chicago, Denver, San Francisco and Los Angeles Legal Assistants to provide support to attorneys across the firm;
- Perform other duties as assigned.
Knowledge/Skills/Abilities Required:
- Ability to work in the office Monday through Friday initially and then move to hybrid schedule; 3 days in office and 2 days remote
- Strong technology skills
- Proficiency in Microsoft Office, and Adobe Acrobat Pro
- Ability to communicate clearly and concisely, both verbally and in writing
- Strong attention to detail and excellent proofreading skills
- Ability to work well in a team environment
- Ability to prioritize and manage multiple assignments under time pressure
- Ability to take initiative and follow through on projects
- Ability to perform at high levels and successfully adapt to changing priorities and working demands
Education/Experience/Certifications:
- Minimum AA degree; Bachelor’s degree desirable;
- One to two years of litigation legal assistant experience; and
- Previous experience working in a law firm strongly preferred
