Nicolaides Fink Thorpe Michaelides Sullivan LLP seeks an entry-level Legal Billing Assistant to join the firm’s Chicago office and become an integral part of its administrative support team.
In this administrative support role, the Legal Billing Assistant will be responsible for assisting the firm’s Billing Specialists in the preparation and processing of client billing on a monthly
basis using the Legal Management System (LMS) by SurePoint, in addition to special projects as required. The candidate will work directly alongside the firm’s other Legal Billing Assistants and Legal Billing Specialists.

Primary duties and responsibilities, job specifications and qualifications, and education, experience, and certification requirements are below.
Primary duties and responsibilities include, but are not limited to:
- Reviewing and editing billing information memos (BIMs) in response to attorney edits;
- Performing client matter maintenance, including reconciling matters on various e-billing websites and maintaining the team’s master matter spreadsheet;
- Creating expense documentation for billing support, including verifying that the backup is accurate and complete and confidential information is properly redacted, etc.;
- Maintaining client matter budgets, including setting up budgets in time and billing system and following up on outstanding or expired budgets, etc.;
- Reviewing e-billing websites for missing matters and budget approvals and providing updates to Billing Specialists;
- Handling a high volume of bills per month;
- Effectively interacting and communicating with attorneys, legal assistants, and clients;
- Reviewing and verifying the accuracy of billing and supporting documentation as required;
- Responding to inquiries regarding billing issues;
- Ensuring strict confidentiality at all times;
- Assisting with special projects, reporting, and analysis, as needed; and
- Performing other duties as assigned.
Required Job Specifications/Qualifications:
- Ability to work in the office until fully trained (approximately 90 days);
- Once fully trained, ability to work in the office three days per week;
- Demonstrated proficiency in Microsoft Office, including advanced functions such as pivot tables, VLOOKUP, and data analysis;
- Ability to communicate clearly and concisely both verbally and in writing with internal and external clients;
- Strong attention to detail and proofreading skills are necessary;
- Ability to work both independently and collaboratively;
- Ability to handle and prioritize multiple assignments under time pressure;
- Eagerness to learn and grow in the billing field;
- Ability to perform at high levels in a fast-paced working environment and successfully adapt to changing priorities and working demands; and
- Possess excellent work habits, including a willingness to meet important deadlines.
Education/Experience:
- Minimum high school diploma or equivalent; college degree is desirable
- Previous work experience in data entry, billing, or administrative support is desirable
